Description
We have a legal power to provide meals to pupils at our schools. While we are obliged to provide those who qualify with free schools meals, charges are made for the food provided to others.
The cashless catering system in use in all Highland secondary schools, and in some primary schools, provides a school meals account for all pupils in a school. Pupils and parents are able to add funds to the accounts by a variety of means, and pupils then present themselves at a point of sale unit where the value of their meal purchases are deducted from their account.
Personal data is required to manage the accounts and to enable to pupils to purchase meals through them.A number of means can be used to enable a pupil to identify themselves and gain access to their accounts:- National Entitlement Card
- Personal Identification
- NumberFingerprint recognition technology
Pupil photographs are taken and recorded on the school meals system as an additional means of security for pupils accessing their account by Young Scot Card or PIN.
Fingerprint recognition offers quicker access than, reducing queues and waiting times for pupils. It is more convenient for pupils in that a fingerprint cannot be lost or forgotten, as a card or PIN can be. -
If you don't give us your information
If you don’t provide fingerprint or National Entitlement Card data, you can create a Personal Identification Number to access meals.
If no account information is processed at all, the Council would not be able to fulfil the requirement to provide school meals or free school meals.

Conditions for processing personal information
Consent is required to use your fingerprint information to allow access to school meals (Article 9(2)(a) of GDPR - Special Categories).
Official Authority. The Councils processes personal data for the administration of school meals because it has an Official Authority to do so (Article 6(1)(e) of GDPR).

Who we share your information with
Personal data is shared with our contractor to enable them to process this data on our behalf.Fingerprint information, National Entitlement Card data and Personal Identification Numbers are not shared with anyone. -
How long we hold your information
Fingerprint information, National Entitlement Card data and Personal Identification Numbers are deleted once a pupil leaves the school.Information relating to payments is retained in the Finance system for 6 years as required by law. -
How to withdraw your consent
To withdraw consent for us to hold your fingerprint or National Entitlement Card data, email cl.catering@highland.gov.uk or contact your Head Teacher. -
Automated processing
Your personal information is not subject to automated decision making or profiling. -
