How long we keep your information
We usually keep your registration details for five years after your registration ends.
Keeping your information accurate
It’s your responsibility to keep your information up to date. You can do this using the Renew/Update process.
You can also request a copy of the personal information held about you by contacting your local authority.
Renewals and reminders
Landlord registration must be renewed every three years. If you don’t renew on time, a Late Application Fee will apply.
To help avoid this, the system sends reminders 90 days and 30 days before your registration expires—by email or post, depending on your contact details.
Councils may also contact you with legal updates or advice on good letting practices.
Website data and payments
The Scottish Government and RoS are joint data processors for personal data collected through the website and public search tool. They collect:
- Your IP address
- Cookies to help the site function (see the cookies policy)
This data does not identify you personally.
They also help councils process online payments for registration fees and only access the information needed to provide this service.
