School venue hire - terms and conditions

Payments and cancellation

3.1 – All lettings are subject to charges approved by Highland Council. Prices are reviewed annually on 1 April. For details view our school venue hire charges.

3.2 – The applicant must give at least five full working days’ notice of cancellation before the booking date; otherwise, the booking will be charged in full. Cancellations should be sent to letsbookings@highland.gov.uk.

3.3 – An admin charge of £15.00 will be applied for:

  • Changing the date, time or location of a let (once the permit has been issued).
  • Amending invoice details, such as a different address, if no amendment form is submitted before the invoice is issued.

3.4 – Any additional costs for cleaning, restoring premises, or overrunning bookings will be charged to the applicant. The hourly rates for additional staffing are:

  • Monday to Friday – £24.75
  • Saturday, Sunday and after 10 pm on weekdays – £37.15

The minimum charge is one hour. We also reserve the right to apply charges as outlined in our school venue hire charges.

3.5 – All bookings will end by:

  • 10pm Monday to Friday
  • 4pm on Saturday and Sunday, unless a specific extension has been granted

Where appropriate, a surcharge may be applied.

3.6 – VAT is applied according to HM Revenue and Customs regulations at the current rate for Sporting Lets, as outlined in VAT Notice 742 Land and Property. If applicable, ensure you have completed the attached VAT Exemption form with your booking.

3.7 – Payment not received within 30 days of the invoice date will void any future bookings.

3.8 – We reserve the right to approve or refuse a booking, or to terminate or cancel a let at any time without providing a reason. Any charges paid that are not due will be refunded following such cancellation or termination.
